Link a payment to invoices in V1 and V2

In Plannit, you can link one payment to one or more invoices, provided that all of the invoices are in V2. Payments for V1 invoices must be recorded directly on each invoice.

Link a payment to V2 invoices

When you create or record a payment in Plannit, you can link it to multiple V2 invoices.

  1. Open the applicable payment.

  2. In the Linked transactions section, click Add linked transactions.

  3. Select the invoice or invoices to which the payment should be applied.

  4. Click Apply, then save the payment if needed.

Important:

Only V2 invoices can be linked to a payment this way. V1 invoices are not compatible with this feature.

Record a payment on a V1 invoice

To record a payment on a V1 invoice:

  1. Open the invoice.

  2. Go to the Upcoming payments section.

  3. Select the payment line and click Pay.

  4. Choose Manual payment.

  5. Confirm the payment date, select the payment method, and add a reference number or note if needed.

  6. Click Save.

Note:

In the current interface, the amount comes from the selected payment line. It is not entered in the Manual payment form itself.

What if one payment covers both V1 and V2 invoices?

If you receive one customer payment that covers invoices from both versions, record the amounts separately in Plannit.

  1. For V2 invoices: Create a payment for the total amount that applies to the V2 invoices, then link the applicable invoices.

  2. For V1 invoices: Open each invoice and record the applicable amount directly from its payment section.

  3. Use the same payment date for all related entries.

  4. Add a note to each V1 payment explaining that it is part of a single payment received from the customer.

Example

A customer sends a payment of **$1,500** to pay three invoices:

Invoice

Version

Amount

Invoice 001

V2

$600

Invoice 002

V2

$500

Invoice 003

V1

$400

Total received

$1,500

You must therefore:

  • Record a payment of $1,100 and link it to the two V2 invoices.

  • Open the V1 invoice and record a payment of $400, using the same payment date and adding an explanatory note.

The total payments recorded in Plannit will then match the $1,500 received from the customer.

Key takeaway

A payment can be linked to multiple V2 invoices. Payments for V1 invoices must be recorded directly on each invoice.

When one customer payment covers both versions, split the payment between the applicable V1 and V2 invoices and use the same payment date for easier reconciliation and tracking.
