Manually Refund a Plannit Pay Payment with QuickBooks Online

This article explains how to manually refund a payment made online with Plannit Pay when using the QuickBooks Online accounting integration.

This procedure helps keep payment information consistent between Plannit and QuickBooks Online when a refund is issued outside of Plannit.

⚠️ Voiding a payment in Plannit does not automatically refund the customer.

Here are the steps to follow in Plannit:

  1. Open the invoice.

  2. In the Payment Schedule section, click the arrow to the right of the payment.

  3. Select Void to cancel the payment record.

  4. Then create a new manual payment corresponding to the amount actually retained after the refund.

    Example:
    If the customer paid $500 with Plannit Pay and you want to manually refund $100, create a new manual payment of $400.

  5. In the Note field, enter the following information:

    • the date and amount of the original payment made with Plannit Pay;

    • the date and amount of the manual refund;

    • the refund method used (cash, Interac e-Transfer, cheque, etc.).

  6. Click Save.

Finally, issue the $100 refund directly to your customer using the selected refund method (cheque, Interac e-Transfer, cash, etc.).

⚠️ The refund must be issued manually to the customer. Plannit does not automatically transfer any funds as part of this procedure.
