1. Accessing the Calls Section
To access this view, go to the main navigation menu located on the left of your screen.
Click on the CRM & Leads icon.
Then select Calls.
2. Managing Incoming Calls
At the very top of the page, you will find a toggle switch labeled Accept incoming calls.
This feature allows users authorized to take calls via Plannit to quickly enable or disable the reception of incoming calls based on their availability.
3. Statistics Overview
The Statistics section gives you a real-time overview of your phone performance. Here is what this data represents:
Total calls: Displays the total number of calls handled, as well as the cumulative duration of these calls (e.g., 28 calls, 22 min).
Incoming calls: The total volume of calls you have received.
Answered calls: The number of calls that were picked up by a team member.
Missed calls: Calls that went unanswered.
Average call duration: The average time spent on the phone per call (e.g., 48 seconds).
4. Filtering and Searching Calls
Above the table, a search bar and filters are available to precisely target the data you want to view:
Search by client: Type a client's name to find their call history.
Filter by status type: Select specific criteria such as calls in progress, unanswered, busy, spam, etc.
Filter by date: Choose a specific date range (e.g., a week or a month) to analyze a given period.
5. Exporting Data
For your reports or external analyses, you can export the data displayed in the calls table.
Click on the Export button in the top right corner.
Choose the desired format: Excel or CSV.
6. Understanding the Calls Dashboard
The central table gathers all the relevant details of each communication.
Here is the meaning of each column:
Done: A switch allowing you to mark a call as "processed". Useful for knowing at a glance if the follow-up has been completed.
Client: The name of the contact or company that called (e.g., Entreprises ABC).
Phone: The caller's phone number.
Date: The exact date and time the call took place.
Duration: The total time of the communication.
Status: The current state of the call (e.g., Completed, In progress).
Source: The origin of the call (if linked to a specific campaign or particular channel).
No: The file or project number associated with this call.
AI Summary: One of the most powerful features of the tool. Whether a voicemail is left or a call is recorded, the AI generates notes summarizing the conversation, such as the client's name, address, reason for calling, etc.
Use case: If a new potential client leaves a voicemail with their contact details (name, address, number), the AI can extract and save this information directly into this summary.
AI Category (AI Information): Identifies the type or main objective of the call (e.g., Information request, callback request).
Sentiment: An AI analysis of the caller's mood (e.g., Neutral, Good, Bad). This helps you prioritize sensitive call-backs.
Actions: A drop-down menu allowing you to act immediately on this lead/client. Depending on your business process, you can, for example, Create a job (a project) or Close the file, all without leaving this view.
