Here are the steps to create a list of work orders to the same location at once, so that they appear in your jobs space and calendar to speed up your planning.
This feature is recommended if any of the situations apply to your operations:
Maintenance contracts/interventions with regular work orders (i.e. weekly, monthly, etc.)
Interventions that require one or multiple follow-up work orders after the initial work order
Projects that are spread over several days
Information in your work order that must be repeated visit after visit.
Step 1: Validate the information from the initial work order
Access the work order you want to repeat and, before generating the recurrence, make sure the work order is completed with:
A "Daily Date" with a specific time must be selected before creating your recurrence ("Within the week" or "AM", "PM" in your choices will create problems with the recurrence).
Updated public comments (if you need them for your next work order)
Attached invoice (if you want to link each invoice to your next work orders)
Updated zone, station and task info (if required for your next work order)
Step 2: Set the frequency for creating work orders
In the schedule section of the work order, under the "Scheduled Date" box, click on "Repeat Work Order" to open the recurrence window'. The information to be filled in the "Repeat Work Order" window is as follows:
Repeat every: The number of repetitions associated with this work order and the frequency of repetition i.e. days, weeks, months or years
Every: The day of the week and/or the week of the month for this recurrence
Date of the first work order: The date you want your next work order to take place
Ends on:
"After": to stop after a specific number of work orders (i.e. after 12 monthly work orders for a yearly renewable contract, after 3 follow-up treatments, etc.)
"On": on the specific date of the last work order (i.e. on the approximate date of an annual contract renewal, etc.)
"Never": in the rare cases where a contract has no end date
NOTE:
Dates that match your selections will appear in the grid in gray for your validation.
The work orders will appear in the job space linked to the original work order
Work orders will appear in your calendar with the icon
Step 3: Automate the desired options
Generate work orders automatically: enter the number of days, in advance of the work order, to access the details of the work order in the calendar without any intervention from you
TIP: If it is important to copy information from one work order to another, we recommend that you adjust the number as follows, to avoid losing information from one work order to another:
If your recurrence is weekly, automatic generation at 2 days
If your recurrence is monthly, automatic generation between 10 or 15 days
2.Duplicate the components of the original work order: check the elements of the last work order (zones, tasks, stations and chemical products, associated invoice) that you want to copy on the next work order without any intervention from you
3. Click on "Save".
